Backing Up Your Company Data
Backing up your company data is very important – everyone knows that. Problem is, everyone is too busy to do it often enough. With that in mind, here are some tips on how to protect your company data:
- Cougar Mountain has the ability to back up your company data each night while you are sleeping – so take the time to learn how to do it. It isn’t hard to learn, and if problems arise you will certainly be glad you did.
- The preferred method of backup is to use the CMS Backup that you open from the main menu of the program. This backup takes a snap-shot of all that company’s data – and restoring that backup puts the company data back the way it was in minutes.
- If you restore the backup from 2 weeks ago – you will then need to re-enter all the activity that occurred from that point forward - so backup often.
- If you use a third-party backup system – don’t just assume that it works – test it to make sure that it does.
- Always place the backup file on a different computer than the one which has the program installed on. To protect yourself against fire, don’t leave the backup in the same building either.
- The CMS Backup window allows you to backup 3 different things; your Data, your Reports, and your Image Files. To save time, you only need to backup the data regularly (unless you often make changes to your Reports or Images).
- Finally, to conserve disk space, you don’t have to keep all your backup files going back months and months. Depending on your situation, most companies might only need to save the daily backups for the last two weeks, then save only one backup for each week after that.
Every so often we get a call from a customer having serious computer problems – then find out they don’t have a backup of their data. Don’t let that happen to you!

It should be pointed that doing a restore is seldom the solution and more often than not causes other problems because the complexity of a fully integrated accounting system and if it fails, you could wipe out certain data files. It should never be done before talking to a tech support person.
Before a restore is done, a special backup should be done to a special location.
