User Rights: Restricting Overrides
A Cougar Mountain customer named Sandy asked us this question:
“I have a question that I hope you can help me with regarding one of my employees that processes our invoices through order entry. I am trying to see if I can restrict her rights to override a credit limit on a customer’s account. I do not see where this can be done in a user’s rights only a salesperson’s authority. Our salespeople are all outside salespeople that are assigned to accounts but they never produce an invoice. We are producing the invoice that will be on a specific customer that has a salesperson assigned to that customer. Can you give me any help here?”
A Cougar Mountain System Trainer answer Sandy’s question this way:

- First go to the Salesperson Code and make sure the “Credit Limit Override†is NOT checked.
- Put a limit on the Sales person you want: IE $1000 in this case
- Set the Customer Query to “Inquiry Only†this way they can go back to AR if you want, but can not change anything.
- Take Away AR from security in the Main Menu.

- Make sure that the customers have a limit to them to charge up to a certain point. This example a customer owes us $942, but has a Limit up to $2000. Remember the sales person would be able to see this but, not change it. (Inquiry Only)

- When the salesperson enters in a sale but it is higher than they are allowed to enter ($1000) or if the customer is above there limit ($2000-942) they will be unauthorized.

- It will explain that the salesperson (SP2) is currently exceeding the current AR Charge overage amount. They must go to the manager or owner for approval.
